How to write an order correctly
An order to satisfy an application for leave is drawn up by personnel service employees according to a fixed template. To avoid violations when preparing a document, taking into account the following content requirements:
- The header displays the personal information of the general director - the representative of the employer, and his position. The date for putting the resolution on the order is set.
- On the left side is the number assigned during registration, and on the right side is the date of registration of the document. The name of the document (vacation order) is indicated in the middle.
- The descriptive part begins with the words “provide leave”, after which the surname, first name, patronymic of the employee, place of work, and position held are written without abbreviations.
- Displays the reason for receiving vacation days, as well as the location of the vacation (the locality is indicated).
- Entering information about the duration of the vacation and the first day of its start. The duration of the vacation period increases if during the rest period the citizen was on sick leave (only with a personal illness, caring for relatives does not count), and there were public holidays at that time.
- Signing of an order by the boss and the employee who is going on vacation.
Only after this the Order comes into legal force and becomes the basis for calculating vacation pay and legal absence from the workplace.
Forms of orders for granting leave to an employee
As noted above, in practice three types of order forms are used. T6 is a standard form intended for registering leave for only one employee. T6a is a fixed form used when several employees go on vacation at once.

The third category is individual documents that are valid within an individual company and are developed by departmental orders or personnel employees personally.
Registration of director's leave
The general director's leave order has a number of features. On the one hand, the head of the company is the only person authorized to send employees to a well-deserved rest. But the boss cannot provide himself with vacation days on his own. How to act in such a situation depends on the type of enterprise:
- On the basis of an LLC or a joint-stock company, the director is a representative of the owners, therefore an employment agreement is also signed with the boss on employment and on the performance of the established list of duties. The manager sends his application for leave to the shareholders or owners of the organization. The petition is considered at the general meeting and the result is entered into the minutes. If the decision is satisfactory, an Order is prepared and signed by the shareholders (co-owners).
- The head of the company is the sole owner. In this case, you do not need to ask anyone for permission. It is enough to prepare an order for your temporary absence indicating the specifics of the production process for this period. A person is also appointed who will temporarily occupy the director’s chair.
During a manager's vacation, managerial responsibilities are temporarily assigned to another employee. Who will replace the chief should be reflected in the deputy's job responsibilities.
Director's leave order: sample
According to the law, the director has an equal right to vacation - just like an ordinary employee. After all, he is an employee of the organization.
Although the director has the status of a sole executive body, he simply does not have the right to send himself on vacation. The organization's charter must contain provisions on who has the right to put the director on vacation. It could be:
- collegial body - for example, a board or directorate, a meeting of participants/shareholders of a company;
- in their absence - the leader himself.
Such a decision is formalized in a protocol in which it is decided who takes on the duties of the director during his absence. Based on it, an order is drawn up. It can be filled out in accordance with the unified T-6 form, which is also used to issue an order for employee leave. SAMPLE ORDER FOR LEAVE OF A DIRECTOR IN FORM T-6
It is important to understand that the unified T-6 form requires it to be signed only by the head of the organization. Therefore, the use of this form is convenient in cases where the director is authorized to sign the document himself. When making a decision not by the manager himself, it is more advisable to use his own developed order form, adding, if necessary, details and a column for the signature of an authorized person of the company.
Requirements for different types of orders
Despite the presence of a unified form of order, each type of order has its own characteristics. For example, when arranging a vacation for a manager, it is mandatory to assign the duties of the director during the vacation to a third party.
About annual paid leave
The procedure for applying for annual leave is available to employees only after 6 months of work from the date of signing the employment contract. The minimum duration of the vacation period is 28 days (2.33 days for each fully worked month). When placing an order, the following nuances may arise:
- Rest implies compulsory payment of monetary benefits - vacation pay. Therefore, the document must contain a task for the accounting department - to calculate and prepare documents for the transfer of vacation pay. Violation of the right of citizens to monetary compensation entails legal liability.
- It is possible to provide a vacation day in advance, but only at the request of the manager. The boss can grant rest for future months of the current year, as well as for the next year.
About leave without pay
The Labor Code provides for the right to additional leave at one’s own expense. The order for the provision of unpaid days of rest has the following features:
- Displaying the reasons for placing an order. The content of the order states that the employee received a handwritten application for an additional day. The reasons for leave are also specified (wedding, birth of a child, death of a close relative).
- A separate clause stipulates that for this period of time the employee is deprived of wages and cannot claim vacation pay.
For pregnancy and childbirth
In the seventh month of pregnancy, the gynecologist prepares a sick leave certificate for a maternity employee. This is the only document giving a woman grounds for temporary absence from work and receiving financial compensation during this period. Therefore, a woman must present a document from the clinic.
The duration of rest depends on the characteristics of pregnancy. When expecting one child - 140 days, with multiple pregnancies - 192 days. This period may increase if the birth was performed by caesarean section.
Changing the conditions of rest after signing the order
The law provides grounds when the head of an enterprise can issue a new order - an order to cancel vacation. The preparation of the document does not mean that the employee is completely deprived of his right to vacation, but requires the transfer of the vacation period or part of it.
Vacation cancellation
An order to cancel vacation may be due to production necessity when the absence of an employee will negatively affect the work of the company. The document means that the employee continues to work, but will be able to use rest days later within the current year.
Such an order can only be prepared before the start of the vacation. Otherwise, it is necessary to issue a recall from the employee’s vacation.
If a decision is made to cancel the order, the employee is deprived of the right to vacation payments. The money will be credited later, after booking your next vacation.
Employee review
After the start of the vacation period, the manager can only recall the employee. It will not be possible to force such a decision unilaterally. The employee must confirm his consent to resume work.
Labor legislation protects the rights of all participants in legal relations, therefore, if the rights of the parties are violated, the injured person has the opportunity to challenge the illegal decision. This can be done by forming a labor dispute commission or in court.

Mandatory requirements for registration are not established by labor legislation, therefore, enterprises and public sector institutions have their own instructions that determine the procedure for processing personnel documents and reporting. In the budget sector, it is necessary to strictly adhere to the document approval process.
The decision may fall within the competence of higher-level managers, organizations and executive authorities, in accordance with the structure of the company or institution. These requirements should be taken into account when drawing up.
The document is the basis for making an entry in the employee’s personal card (unified form No. T-2), and is also used to calculate the corresponding payments and is taken into account in the final calculation upon dismissal and taxes of the organization. Unified forms are not mandatory for use since 2013. But since they include all the information required for primary documents, many employers continue to use them in their practice. Forms T-6 and T-6a are no exception.

Forms of order for provision of annual basic paid leave
According to the norms of Article 123 of the Labor Code of the Russian Federation, the basis for granting an employee days of rest is the vacation schedule (we have already described how to develop and approve it in another article), as well as the employee’s application (in case of unscheduled rest, for working on weekends, donation and etc.). Only if you have these documents can you begin to draw up the order itself. To do this, you can use either a unified form (there are two of them: for one employee and for several at once), or a independently developed template. This is due to the fact that Resolution of the State Statistics Committee of Russia dated January 5, 2004 No. 1, which approved the unified forms, is not a mandatory legal act, but is only recommended for use. Therefore, if an employer wants to write a document in any order, no one will punish him for this. The main thing is that such a document contains all the required details. In addition, the developed form must be contained in the accounting policy of the organization, because it will serve as the basis for the payment of vacation pay.
So, there are two unified forms:
- No. T-6 - per employee;
- No. T-6a - for several workers.

The procedure for issuing an order to grant leave to employees:
- at the top of the form, in the line with the name of the organization, the full name of the enterprise is indicated;
- OKPO;
- number and date of the vacation order being drawn up;
- Column 1 - employees are entered from top to bottom, indicating their full last name, first name and patronymic;
- column 2 - personnel numbers of employees are indicated;
- column 3 - structural unit where the employee works;
- column 4 - position held by the employee;
- column 5 - duration of the basic paid leave provided (in calendar days);
- Column 6 - duration of additional paid leave, educational, without pay or other type of leave (in calendar days);
- columns 7, 8 - the period of work for which leave is issued, indicating the dates;

Sections and their descriptions
The standard document is published on company letterhead indicating all mandatory details and contains the following sections:
- Preamble - a brief description of the reasons for drawing up the document, for example, a link to a schedule, personal statement, article of the Labor Code.
- Main (content) part. Filled in with specific information about the vacation: position, full name. employee, dates, periods, reasons.
- Applications. Usually - grounds confirming the right (certificates, certificates, etc.).
- Signatures and necessary approvals (visas). Contains an indication of the positions of authorized persons, visas of approving persons, and a signature confirming the familiarization of the employee.
Instructions for drawing up a vacation order

Step 1. Indicate the number of the vacation administrative document and the date of its formation.
Step 2. Indicate the name of the institution that issues the document.

Where is the unified form T-6 (T-6a)

Since 2013, organizations have the right to use their own accounting forms instead of standardized forms of primary documents (including forms T-6 and T-6a) (information of the Ministry of Finance of the Russian Federation dated December 4, 2012 No. PZ-10/2012). For which holidays is an order required?
The Labor Code establishes three types of leave:
Basic annual paid | The enterprise is paid and is 28 days. If holidays occur during vacation, the vacation is shifted by this number of days. All employees have the right to this leave, and newly hired employees only after a year of work at the enterprise. The first 14 days can be used after six months of work. |

Vacation order form T-6
By vacation we mean a period of time when an employee is free from daily work duties and can spend it at his own discretion.
Accordingly, a leave order is a document that is used when granting leave to an employee.
Rules for drawing up a vacation order in form T-6
The resolution of the State Statistics Committee of Russia approves certain forms of documentation for determining labor duration.
The order itself is approved by the head of the organization, and the form is drawn up by an authorized person, for example, a human resources employee.
In this document you must provide information such as:
- Name of company.
- Form for classifiers of documentation and enterprises.
- Document number, date of its preparation.
- Full name of the person who is granted leave, his position.
- A vacation period designated by specific dates.
- Type of leave (annual paid, educational, etc.)
- Number of vacation days in calendar order.
You should especially pay attention to filling out the column about the type of vacation. The columns are located under the letters A, B, C. The first is filled in if the employee goes on regular vacation, which usually lasts a month.
If an employee goes on vacation when the salary is not maintained, on educational or other vacations, then fill in the column under the letter “B”. Here we also indicate the name and duration of the rest.
Next, signatures (with a transcript) are given by the head of the organization. Then the manager introduces the employee against signature.
After drawing up this document, the information is entered into the employee’s personal card.
It must be remembered that the order for granting leave is drawn up in two copies: the first is necessary for the personnel department, and the second for the accounting department.
Features of a vacation order
First of all, vacations can be divided into basic and additional. The first group includes annual paid leave, amounting to 28, and in some cases, more days. The second group is associated with difficult conditions for performing certain jobs, long working hours and work in remote areas.

How to draw up an order for leave
A vacation order can be drawn up in free form or using standardized forms:

Important. The order is issued 14 days before the start of annual leave. At the same time, the employee must be notified of the upcoming vacation. After familiarization, the employee is required to put a personal signature on the line of the document provided for this purpose.

Any leave granted to an employee must be properly documented in the form of an order. Only in this case will all the rules of personnel records be observed.
This document also serves as the basis for calculating vacation pay and entering data into the time sheet.
To issue a leave order, two unified forms are most often used: T-6 and T-6a. Their main difference is that the first form is intended for registration of leave for one person, and the second, designated by the letter “a”, for registration of several employees at once.
Using the T-6a form, you can apply for only one person, there will be no mistakes here.

Is it necessary to use these forms?
Starting from 2013, it is not necessary to use unified forms of personnel orders; accordingly, the employer has the right not to use forms T-6 and T-6a when registering vacations. You can develop your own form, or add or shorten the above. The main thing is that the use of the new form and its form must be approved by order of the organization.
But, despite this, most organizations continue to use unified forms as the most convenient and optimal.
Vacation registration
An order for granting leave is drawn up on the basis of one of two documents:
- Vacation schedule for the current year;
- Employee's application for leave.
As a rule, a leave order is issued by an employee of the HR department. Then a copy is sent to the accounting department for accrual of vacation pay. The original order is filed in the order book.
The period for issuing a vacation order is not defined by law, so when issuing it, you can focus on two periods:
- 3 days before the start of vacation is the deadline for paying vacation pay to the employee. Accordingly, the order must be issued 1-2 days earlier, that is, 4-5 days before the start of the employee’s vacation, so that the accounting department has time to calculate and transfer funds to the employee;
- 14 days before the start of vacation - the period within which the employee must be notified that he is going on vacation. In this situation, the order can be used as a written warning to the employee, familiarizing him with signature. This deadline cannot always be met, especially if the employee goes on vacation unscheduled.
This means that each organization can determine the deadline for issuing an order independently, the main thing is to comply with the deadlines established by law, indicated above.
Instructions for filling out form T-6
Form T-6 is used when only one employee needs to be sent on vacation. It is filled out in the following order:
Name of company
It should be included here in full, without abbreviations. This procedure is established by Decree of the State Standard of the Russian Federation dated March 3, 2003 No. 65-Art. It also clarifies that if the constituent documents contain an abbreviated name of the company, it may be indicated below the full name (or next to it in parentheses).
The above document is valid only until 07/01/2018, and then GOST R 7.0.97-2016 will come into force, but it also contains the same requirement regarding the name as a document requisite.
All the above rules fully apply to individual entrepreneurs.
OKPO code
Next to the name there is a small field reserved for OKPO; the data for filling it out is taken from the list of codes issued by statistical authorities when registering a company. But leaving this field empty will not be a serious mistake.
If personnel records are maintained in specialized programs, then the OKPO code can be entered into the company details, and it will be automatically entered in each order.
Structural unit where the employee works
If the organization does not have such a division, then this line can be left blank.
Employee position
Its name is entered exactly as it is indicated in the staffing table and employment contract.
Line “During the period of work with...”
This line is intended to enter information about for what working period vacation is granted. It can be left empty if the type of leave on which the employee is sent does not depend on periods of work, for example, study leave.
On the other hand, this period must be indicated when a person goes on annual paid leave and all other leaves, the duration of which is regulated for a year, that is, when a certain number of days of rest are due in one working year (main, additional, for irregular working days , for special working conditions).
Letter "A"
This line is intended for entering information about the number of days of annual basic paid leave. The number of days and the period during which this leave is granted is indicated.
Letter "B"
The line is intended to reflect the duration of all other leaves (without pay, additional, educational). The type of leave, number of days and period are indicated.
Letter "B"
The line is intended to reflect the total number of vacation days. All vacation days are summed up, and the period is marked with the start date of the first vacation and the end date of the second vacation. If only line “A” or line “B” is completed, then it will coincide with line “C”.
The final stage of placing an order is signatures. The completed form is signed by the head of the organization, and then the personnel officer introduces it to the employee against signature.
The following features of the T-6 form can be distinguished:
- With its help, you can only take two vacations. If an employee is granted more vacations in a row, then another form will need to be filled out;
- If there is at least one working day between the employee’s vacations, then it is necessary to issue two orders, since in this case the final vacation line (line “B”) will reflect incorrect information.

Form T-6a is taken when leave is issued for several employees at once.
Basic details of the order: name of the organization, date and number are filled out in the same way as in the previous form. The further part of the order is presented in tabular form:
- Last name, first name, patronymic of employees going on vacation;
- Personnel number – indicated if available;
- Structural unit – indicated if available;
- Name of the employee's position;
- How many days of basic paid leave did the employee receive;
- Number of days of other types of vacation. The days are put, and next to it, in brackets, the type of rest is indicated;
- Start date of the working year for which leave is granted;
- End date of the work period;
- The total amount of calendar days of all vacations;
- Vacation start date – set the start date of the first vacation;
- Vacation end date – indicates the last day of the last vacation;
- The employee’s signature confirms that he has read the order.
After drawing up, the order is signed by the head of the organization.
The main difference in filling out the T-6a form from the previous one is that vacation periods are entered once and immediately cover all vacations, that is, there is no allocation of periods for each of the vacations.
As in the T-6 form, this form can reflect no more than two types of leave per employee, but it is possible to enter it several times in one order. You can also enter one employee several times if he goes on continuous main leave, but it is provided for different periods of work.

In order to secure the employee’s departure for the rest period, the personnel officer, by order of management, draws up an order.
As a rule, a standard T-6 form is used for this purpose. But the company has the right to take it as a basis and make its own document.
It is also possible to take a letterhead and issue an order in the form of a free document. But it is necessary to take into account that in this situation the text of the order must contain mandatory details.
The T-6 vacation order form begins with a space to indicate the name of the company and its OKPO code established by Rosstat. Next, next to the name of the document, written in the middle, its number in order and the date when it was compiled are indicated.
The number and date will be of great importance in subsequent actions, since they will be used to register the form in the order book. These details are also used in the preparation of many accompanying forms.
Next, you need to write down the name of the department, the exact name of the position, the number from the report card, and personal information.
The next step is to record the time period for which the vacation is provided. This is done for the main working day and additional vacation days.
It must be borne in mind that the beginning of the period of work for which the employee is granted leave is calculated from the date of registration for work, and not the beginning of the calendar year. Then the body of the order is divided into three sections - A, B and C.
Section A applies when the employee is granted basic leave. Here you need to indicate the start and certification dates of the vacation and its duration.
Section B should be used when one of the types of additional leave is provided. When filling out this section, you must indicate the name of the period provided, its start and end dates, and days of duration.
Section B is a summary of all types of employee leave. Here you need to indicate the total start and end date of the vacation, as well as the total duration of the entire vacation time.
If only one type of leave has been issued (main or additional), then the information in section B duplicates that indicated earlier.
The document must be signed by the head of the company with personal information.
At the bottom of the form there is an empty field in which the employee must personally put a mark on familiarization - full name. and the date of the event.
Mandatory order parameters

The order form is not stamped. The order is signed by the head of the organization or another authorized person.
The director has the right to either agree with the order or not. And he can also make changes to it.

This type of document can be used if several employees are going on vacation at once. It is based on a table in which the periods and duration of the upcoming rest are noted.
First, the name of the company is indicated on the form, and the company code assigned in accordance with OKPO is also indicated on the right.
After this, next to the title of the document its serial number and date of preparation are indicated. Subsequently, under these details, the order is recorded in the order book for the enterprise.
After this, you need to fill out a table with data. It should have one line for each employee. In this case, correcting data or skipping lines is not allowed.
The table must be filled out according to the following scheme:
- Column 1 - full personal data of the employee (full name);
- 2 — Its number according to the timesheet is indicated;
- 3 - The name of the unit (name of the department) in which he performs the work is indicated;
- 4 - The designation of the position is entered according to the staffing table;
- 5 - The column is intended to indicate the number of days of rest when granting annual leave. In fact, it acts as an analogue of section “A” from the T-6 order form. If the employee is granted another type of leave, the column must contain a dash.
- 6 - This column is necessary to indicate the number of days for additional leave (study, maternity leave, without pay, etc.). This column is analogous to section “B” from order T-6. If this type of leave is not currently provided to the employee, then a dash is written here.
- 7 and 8 - are intended to indicate the start and end dates of the vacation period. For the main labor leave, the working year is recorded here, for some types of leave without pay - the calendar year, etc.
- 9 - is intended to indicate the total number of days of rest. This number is obtained by adding the number of days provided from columns 5 and 6.
- 10 and 11 - Here you must enter the start and end dates of your vacation;
- 12 - serves to mark the employee’s familiarization with this order.
After the document is fully drawn up, the director must sign it by putting a personal signature and deciphering it.
