How are working hours recorded?
It is imperative to take into account staff working hours.
As a rule, standard forms of accounting forms are used for this purpose - time sheet form T-12 and T-13. There are two ways to count working hours:
- Mark with special designations only days other than the usual fully worked days (time off, absenteeism, vacations, sick leave, maternity days, business trips, absences for various reasons, incompletely worked days).
- Provide designations for all calendar days of the month, including weekends and regular attendance.
The organization itself chooses a convenient method for recording employee working hours.
The codes that are entered in the report card can be expressed in the form of numbers or letters.
You can add your own designations to the list depending on the specifics of the company.
Filling out the timesheet is carried out on the basis of an order, in particular, to indicate the period of maternity leave, the basis is an order for leave under the BiR.
An employee going on maternity leave also requires entering an alphabetic or numeric code.
A maternity leave is issued on the basis of a sick leave certificate for pregnancy and childbirth. For days of temporary disability due to illness, code B or 19 is used. However, for a certificate of incapacity for work opened in connection with pregnancy, other codes are used.
How is maternity leave designated in BiR:
- P – letter code;
- 14 – digital code.
Any designation can be used. It is entered for each day you are on maternity leave. If the duration of vacation is 140 days, you need to mark P or 14 for each, including weekends (Saturdays and Sundays).
In the part of the cell where the number of hours is noted, dashes are added for maternity days.
Upon completion of maternity leave, maternity leave begins; this maternity period is designated as follows:
- OZH – letter code;
- 15 – digital code.

If a worker wishes to interrupt her maternity leave early and go back to work, then from the moment she leaves, codes I or 01 are entered on the timesheet for attendance, B for days off.

How are sick leave designated?
If the employee was present at production all working days, then filling out the timesheet is quite quick and easy. But how to correctly reflect employee absences and sick leave?
First of all, you should know that the basis for recording sick leave is a special form of sheet, which is issued by a medical institution. In this case, the medical institution must have the appropriate certification and the right to issue the document.
Based on sick leave, the employee is assigned a benefit not from the main wage fund, but from the insurance fund. The amount of payments depends on length of service.
If an employee has a total length of service of more than 8 years, then he receives 100% payment for such days from his salary.

The sick leave form is uniform throughout the country and has several levels of protection against counterfeiting. The form must include the following information:
- name of company;
- enterprise code;
- name of the medical institution;
- start and end date of the sick leave period;
- details of the doctor who issued the sheet.
The employee does not have the right to independently fill out such a document or make any adjustments.
This sheet must be handed over to the person keeping the time sheet and provided to the accounting department. Subsequently, this document is transferred to the FS, according to which calculations are made for those days on which the employee was absent due to illness.
Several periods may be reflected on the sick leave certificate. Each period of incapacity must be confirmed by a doctor’s signature.
If there is not enough space in the document, that is, all the lines have been used, and the employee still cannot start work, the doctor is obliged to issue a new sheet.
In this case, the employee will have only one document in his hands - the last one. In it, the doctor indicates the general period of incapacity for work, indicating the start and end dates.
Filling out a certificate of incapacity for work
For quick control and accounting of such sheets, a special coding system has been created. Therefore, basic data is entered into the sheet using codes. If an error or typo is made when filling out a document, the automatic code reading system may not miss such a sheet.
The decoding of the codes is reflected on the reverse side of the LN. They include 2 or 3 digits.
The sick leave must indicate the reason for the disability.
The medical institution that issued such a document must retain a tear-off form.
If such a document is filled out incorrectly, the fiscal service may invalidate it, thus depriving the employee of the right to benefits. In this case, the company will be required to pay compensation to the employee.
That is why the responsibility for checking the document rests with the HR department employee.
Only an institution that has the appropriate license can issue such a document.
But LN issued by a paramedic, ambulance station, or other medical centers are considered invalid and cannot be accepted as confirmation of an employee’s absence due to disability.
If an employee provides sick leave that does not meet the stated requirements and cannot bring another document, absenteeism without a valid reason should be entered in the timesheet column.
Designation in the timesheet: parental leave
Each organization takes into account the working time worked by staff, rest periods, and absences. This information allows you to correctly calculate employee salaries.

When compiling a visit record sheet, you should adhere to certain standards:
- Changes regarding personnel (hiring a new employee, going on maternity leave, changing surnames) are indicated on the basis of an order;
- The timesheet is printed on a computer or filled out with blue (black) ink in one copy;
- The timesheet must be opened in the current month (no later than the 2nd or 3rd day), and closed on the last day of the month;
- Each employee is filled in on a separate line, the full last name, first name and patronymic are written down to avoid confusion with namesakes;
- The horizontal cells opposite the full name of the staffing unit contain information about hours worked;
- One column equals one calendar day;
- Attendances and absences should be noted on the report card daily, based on orders from the manager and memos;
- If errors in filling out are found in the closed report card, then an adjustment form is drawn up with the changes made.
After filling out all the fields, the responsible employee indicates his position and signs in the required fields with the explanation of his last name. The document is approved by the head of the company indicating his position. At the end, the date of compilation of the form is indicated.
HR specialists should distinguish between the types of letter codes for sick leave:
- B - a regular certificate of incapacity for work is noted;
- P - indicates sick leave for pregnancy and childbirth, including the adoption of a child;
- OZH - parental leave is noted.
The absence of an employee due to being on maternity leave is necessarily indicated in the accounting sheet with special codes: P or 14. Their list is given on the title part of the standard T-12 form.

Filling rules
Each category is assigned its own code. Therefore, in order to fill out the document correctly, you need to select the correct letter designation of the situation and enter it in the appropriate column.
When designating a sick leave report, the person responsible for filling it out must have a supporting document on hand. In a situation where the employee has not yet returned to work, and the time for submitting the report card has already arrived, you can put the appropriate mark in the document, but later you need to check the data with the sick leave.

If it turns out that the data differs, it will be necessary to create a new timesheet taking into account the adjustments.
The document cannot contain corrections. Handle color is black only. Or the LN can be drawn up by machine, but the data must be entered in capital block letters.
The form should not indicate the diagnosis of the disease. The doctor or receptionist who fills out the document enters only approved codes. Another designation is considered a gross error and cannot be accepted for transmission to the FS.
The form must be filled out with a black pen.
The form must be handed over to the accounting staff who are involved in payroll. Based on the coding, the accounting service of the enterprise determines how much sick leave should be accrued to the employee.
Algorithm for checking LN by accounting employees:
- check the form for compliance with standards;
- make sure that the reason for the disability is specified in the code;
- check the document formatting rules (filling out the organization’s data, code, pen color, absence of corrections);
- check whether the period of incapacity for work coincides with the working time sheet.

This code is noted for all days, including all holidays and weekends. If an employee goes to work early, then marks on the child care report card are not entered from the moment of return to the workplace. Column 5 summarizes the results for the first and second half of the month. For persons on care leave for up to 1.5 or 3 years, dashes are placed in this column. For this type of employee absence from work, the designation OJ or 15 is used; any of these indicators can be used to mark the days of child care. As soon as the employee returns to work on the first working day, the designation changes either to I, which means attendance, or to an empty field.

But if the company conducts settlements with personnel as a separate type of accounting, section 2 simply remains empty. There are two ways to fill out the timesheet:

- 8 digits for legal entities;

It is retained by the employee for the entire period of work in the organization and is not transferred to another person for several years after dismissal.

If one type of remuneration (salary) is applied to all employees during the month, then the code of the type of payment and the account number are written at the top, columns 7 and 8 are left empty, indicating only days or hours worked in column 9. In our example, the employee was absent for 13 days:
- 3 days - due to a business trip;
- I was on vacation for 10 days.
The accounting sheet is signed at the end of the month:

Before marking vacation on your time sheet, it is important to know the following points:
- Determine the total number of days and hours worked. The specialist must summarize the numbers noted in the second line of columns 4-6, and write the results in columns 5 - 13.
- Write the code in the top row of the table on the days the employee is absent.

What should a HR employee know?
First, the timekeeper must have a clear understanding of the timesheet. The document itself is formed in the form of a table.
The names of the columns in the table include the following data:
- Full name of the employee;
- title of the position held;
- his personnel number; ,
- calendar days of the month;
- separate columns to indicate: the total number of days and hours of work; counting days of absence for specific reasons: regular vacation, sick leave, absenteeism, leave without pay, etc.
Accounting data in the timesheet is recorded daily until the end of the calendar month.
In the last days of the month, the total total is calculated and signed by the heads of the personnel department and departments.
The most important thing when putting digital and letter marks on the report card is to know the methodology for filling it out.
There are 2 types of record keeping regarding employee behavior at work:
- Continuous registration, in which all events are noted: vacation; half-holiday; hours worked; business trip, etc.
- Accounting for deviations in the work of employees, reflecting violations of the workers’ work schedule - unpaid leave, sick leave, absenteeism, etc. In this case, absence from work is not recorded in any way, and the box remains blank.
Control over the correct completion of timesheets is carried out by inspectors for compliance with tax legislation and labor law.
