Monthly work schedule table: blank sample

Drawing up a work schedule allows you to optimize the activities of each of the company’s divisions. Drawing up this document allows you to increase the productivity of each employee of the enterprise. It is the act in question that allows us to avoid possible interruptions in the work process and prevent the occurrence of force majeure situations. In this article, we propose to look at a sample employee work schedule for a month and talk about the procedure for creating this document.

Work schedule is the distribution of working time and rest time of employees during a certain calendar period

Purpose of the document

The current Labor Code states that each employer can use two main options for conducting labor activities. In the first option, employees work according to a standardized schedule developed by regulatory agencies. In the second option, the employer independently sets the work schedule. It is important to note that when using the second option, the company administration needs to develop its own internal regulations regulating labor regulations. Also, information about the duration of the working day is indicated in the collective agreement and labor agreement with each employee of the company.

First, let's look at the different modes that have a standard working time:

  • five working days and two days off;
  • six working days and one day off;
  • rotating weekend schedule;
  • part-time work week.

It is important to note that when using irregular working hours, the employer must develop a shift schedule.

According to the one hundred and third article of the Labor Code, the need for this document arises when the duration of the work process is higher than the duration of the standard working day. If it is necessary to maintain a continuous production process, the company administration must develop a shift schedule in order to involve existing personnel in round-the-clock work activities.

The document in question regulates the procedure for performing work in accordance with established standards of work activity. The act in question is an integral part of the collective agreement . When developing this document, the employer should take into account the point of view of each employee of the company.

According to this document, the employer establishes a specific work schedule. An example of a shift work schedule is a situation in which an employee performs his duties on two consecutive days. After this, he is given two days off. At this time, all the duties of this person are performed by his replacement. The schedule for employees to report to work is regulated by the order of shifts. As a rule, this document is developed one or several months in advance.

To ensure compliance with the requirements of the Labor Code, it is necessary to draw up the correct work schedule for employees

Shift work schedule - scheduling procedure

The presented work mode adjusts the distribution of all workers into certain communities or teams, each of which performs assigned duties during the work period noted in the shift schedule. It must be coordinated with the trade union organization, relations with which are regulated by Article 372 of the Labor Code of the Russian Federation.

  1. Continuous production enterprises. For example, chemical, metallurgical, automobile plants, mines, the shutdown of which can slow down or cause a disruption in the technological process of one or more departments. For example, stopping a blast furnace would cause a serious industrial accident.
  2. Emergency services. The availability of ambulance, fire service, and police requires round-the-clock duty, since their functionality sometimes depends on unforeseen factors (disasters, emergency calls, etc.).
  3. Certain food and retail enterprises (convenience stores, cafes, restaurants, hotels).
  4. A transport system that must provide transportation of passengers and comply with traffic schedules.
  5. Organizations in which shift work allows for the most efficient use of resources, equipment and premises of the enterprise.

Differences between hours worked and work schedules

The monthly work schedule is an internal act regulating the work regime . It should be emphasized that the document in question has a number of differences from the time sheet. The latter is drawn up on the basis of the ninety-first article of the Labor Code. This document, compiled by the company's management, is used to record the actual number of hours worked during the month by each worker. The regulatory authorities have established a standard of forty working hours per week. It is the need to comply with this routine that obliges the company administration to keep records of the working hours of employees.

It is important to pay attention to the fact that when drawing up this document, the manager does not need to coordinate various subtleties and nuances with regulatory agencies. Each employee working on a shift schedule must be familiar with the work schedule. There are no similar requirements for timesheets of hours worked. According to Article One Hundred and Ten of the Labor Code of the Russian Federation, the employer undertakes not to violate the established procedure and to monitor strict compliance with the established work regime.

According to the established procedure, each organization must have, among its local acts, a time sheet.

Unlike a time sheet, a working time schedule does not belong to the category of mandatory documents. The need to formulate this act arises only in the case of a continuous production process. It should also be noted that excerpts from the documents in question are included in the employment agreement concluded between the company’s employees and the administration. This information is recorded in the section devoted to the length of the working day.

12 hour operating mode

In case of production necessity, managers can introduce a 12-hour work schedule at the enterprise: below is a shift work schedule of 2/2 for 12 hours for 2021 (for 1 month).

If an employee worked 168 hours in February on a 12-hour shift, then it turns out that he worked 9 hours (in accordance with the production calendar, the standard working time for February is 159 hours on a five-day shift). Please take this into account when planning the rest of such an employee and calculating additional payments for overtime.

Purpose of the chart

The document in question is a multifunctional act. It can be used for the following purposes:

  1. When calculating the average salary.
  2. When calculating payment for specific actions of employees.
  3. In order to streamline the activities of company employees.
  4. To determine the amount of additional payments and insurance premiums.
  5. In order to identify the amount of processing and the amount of additional payment.
  6. To reduce the likelihood of errors when calculating wages and vacation pay (this document is used together with a time sheet for hours worked as the basis for calculating wages for hired personnel).

The employer must organize the accounting of working hours worked by each employee.
The form in question is generated exactly one month before commissioning. After the completed act is approved by the head of the company, all employees are familiarized with its contents. If the employee refuses to confirm the fact of familiarization with the document, the company administration should draw up a corresponding report, inviting two witnesses. It is important to pay attention to the fact that violation of this procedure is considered a gross disciplinary offense.

Shift work schedule: what is the standard hours for shift work?

Summarized accounting of working time is a procedure regulated by Article 104 of the Labor Code of the Russian Federation, which provides for reduction to the established form in the process of summing up hours worked for a month, quarter or year. The application is reflected in the internal local documents of the enterprise.

Remuneration for shift work may be based on tariffs or fixed salaries. If a deficiency is identified when calculating hours, then wages are calculated by multiplying the hours worked and the tariff rate when it is established. If the employee has a fixed salary, in order to calculate the amount of remuneration, it is necessary to arithmetically divide the salary amount by the standardized amount of time and multiply by the total number of hours worked.

Who draws up the work schedule

A document defining the procedure for the company’s personnel to report to work must be drawn up personally by the head of the company. Also, this responsibility can be transferred to any official by issuing an appropriate order. As a rule, these powers are transferred to personnel department employees. It should be mentioned that, according to experts, this approach is incorrect. According to the established rules, responsibility for drawing up the schedule should be assigned to the heads of structural units.

After the company employees familiarize themselves with the contents of the act, the form is approved by the head of the company by certification with a personal signature. This right is also available to the heads of separate structural departments. It should also be mentioned that the current legislation does not have regulations governing the form of the act in question. This means that each manager has the right to independently develop an individual form.

At the top of the document you should write its name. In the margins of the table there is a list of company employees and their job positions are indicated. Opposite each surname, the day of departure for shift duty is indicated. The task of the compiler is to create a form that will meet all the criteria established by the regulatory authorities. It is very important to prevent overtime and choose the optimal workload level for each company employee. As a rule, this schedule is drawn up once a month.

What does a shift schedule mean?

The last point is interpreted quite broadly - in fact, almost any enterprise falls under it. Theoretically, a manager can state that “in order to minimize losses from office rental, the company is switching to working in two shifts,” but in practice this practically never happens.

So, if we consider the popular work schedule “in three days”, it can be noted that in 2021 an employee can work 1974 hours. If we divide this number by 24, we get the number of shifts - 82 per year. Those. 4 employees, according to the law, can only cover 329 working days. If we take into account overtime, which can amount to only 120 hours per year, then 4 workers, again, will be able to work only 342 working days.

How to fill out a schedule

The internal labor regulations established on the territory of the company are regulations governing the procedure for filling out the duty schedule of shift workers. This act records the duration of the work shift, the number and duration of breaks, the start and end times of the production process, as well as the order of alternating shifts. Based on this document, a calculation is made of the number of shifts worked by each employee of the enterprise.

The duration of a work shift is determined by local company documents. It is very important that the length of the day clearly corresponds to the value specified in the agreement between the employee and the company administration. In addition, the requirements of regulatory organizations and government agencies should be taken into account. When creating a schedule, it is necessary to take into account the requirements of various authorities regarding workers involved in hazardous work, disabled people or workers under the age of majority .

What does a shift work schedule mean and its features?

  1. Two shifts - standard day and evening (or night). In the first case, the total time of both shifts lasts no more than 16 hours, each shift is 8 hours. To take a shift you often need to arrive early. In the second, the enterprise operates around the clock, each shift is 12 hours long: day shifts from 6 to 6 p.m., night shifts, on the contrary, from 6 to 6 p.m. A mixed option is also possible—some days the worker works during the day, some at night. All of them are noted on the report card;
  2. Three-shift – the so-called four-brigade version. It is used in production, which employs a large number of people. All employees are divided into 4 groups, 3 of them work per day. The standard division is as follows:

    4 shifts at night (from 23 to 7) – 2 days off;
  • 4 days (from 7 to 15) – 1 day off;
  • 4 in the evening (from 15 to 23) – 1 day off.

According to the Labor Code, the night shift lasts from 10 pm to 6 am and is considered such if half of the employee’s working time falls within this period.

Storage Procedure

“The list of standard management archival documentation generated in the course of the activities of government agencies, local governments and organizations, indicating storage periods” is a regulation governing the procedure for storing the document in question. This list was approved in two thousand and ten by the Ministry of Culture of the Russian Federation.

According to regulations, the type of documents in question must be stored in the state archive for five years. In the case where the company’s activities are closely interconnected with a harmful production process, the shelf life is extended to five years. Many employers transfer work schedules to the state archive after one year from the date of their commissioning. Storing such documentation on the territory of the enterprise allows them to be used to resolve disputes between employees and the company administration.
