Among the overwhelming majority of workers, there is an opinion that this process of exchanging “papers” is a waste of time and effort in compiling them, because calling and quickly sketching out a picture is much faster and easier.

Their train of thought changes dramatically after the first contact with production situations, when it is necessary to prove the fact of sending relevant information to all interested parties.

Sometimes not only the fate of a disciplinary sanction (possibly very severe, up to and including dismissal), but also the further successful operation of the entire enterprise depends on this.

Types of memos

Due to the fairly free form of presentation, the memo is used in a very wide range of issues and situations. The following will list the most common situations, but this does not mean that this list is exclusive and cannot be supplemented with other items.

Employee to employee

Even if two employees are separated from each other only by a passage between desks, this cannot prevent them from communicating in writing. And to regard this as a work conflict would be completely wrong. Interaction through the exchange of “letters” helps:

  • avoid failures as a result of heavy workload and forgetfulness;
  • solve the problem of non-fulfillment of duties or untimely transfer of necessary data;
  • defuse tense relations, and also transfer the memo to the employee into the category of disciplinary and organizing documents.

These papers can be very different and contain both requests and demands.

For example, if an employee sees that one of the team members is neglecting official functions, then even before contacting the manager, you can send a memo about failure to fulfill official duties to a colleague who is frivolous in his work. This will be more correct and will allow us to prove in the future that gaps in work were not the result of “mutual responsibility” and hushing up the problem.

For write-off

It is rare that any work is not associated with material assets or consumables used for successful work. This entails their damage or loss of quality characteristics, and then you need to contact the supply service to write off old materials and issue new ones.

If wear or failure of objects of labor is the result of natural processes associated with aging or resource depletion, then you can report this to the financially responsible person. The form of notification may be a memo for write-off with a list of items that have lost their usefulness and the reason for refusing to use them.

It’s another matter if the breakdown of their formation was associated with non-standard events or carelessness of responsible employees, then this cannot be done without the knowledge and decision of the authorities. In this case, it is more appropriate to write not a memo, but a report.

For bonuses

Written communication is more often associated with unpleasant events or the exchange of data. Less common are more pleasant reasons for writing a memo - a message about a bonus.

Since a distinctive feature of a note is the rule that it should be sent to an employee of equal rank, it is more correct to send a proposal for an award, drawn up in this way, for example, to the personnel service. Alternatively, you can give the document to the employee responsible for drawing up a draft order on bonuses or presenting a list of candidates to receive cash incentives.

On a business trip

After the need to obtain a mandatory travel certificate for each business trip was abolished in 2014, the question arose of how to correctly record some of the nuances and report on its results. The solution was a memo for a business trip. It is in this form that you can inform the manager about how and when it is planned to carry out the company’s task, as well as set out the results of the trip in a note.

This document is commonly used:

  • if the journey to the destination was made by personal or passing transport;
  • if you need to report on work on a day off or overtime;
  • if it is impossible to accurately determine the actual duration of the business trip based on the attached financial documents;
  • if there are circumstances that must be taken into account when calculating daily allowance and reimbursement of expenses or the need for expenses needs to be explained without primary documents.

Memo to the director

Since the manager, most often, is the highest individual management body of the enterprise, it is quite difficult to imagine a situation in which it would be correct to send a memo to the director. In accordance with the principles of the service hierarchy, it is better to submit reports in his name.

The reluctance to title the document submitted to the authorities in this way is, rather, dictated by subjective reasons and emotions. However, it is worth understanding that a memo about a violation of the job description looks illogical.

An option to correctly use the form of a memo addressed to the director is possible in corporations or holdings.

Only in their structure can there be several directors at the same time, equal in position in the organization and not subordinate to each other.

Within enterprises with a straightforward management system and one manager, it is more appropriate to use reports on all production issues that require the attention and approval of the director.

An official note, like any other correspondence, is subject to registration in special accounting journals. It is better to hand it over with a signature on the second copy or in the column of the journal.

Drawing up a memo

To ensure that a person has no doubts about how to write a memo correctly, you can use simple instructions:

  1. The document is drawn up on a sheet of A4 paper, with the full name and full title of the addressee’s position indicated in the “header”.
  2. The name of the author of the note is also indicated there, not forgetting to write his position and department.
  3. Use the phrase “Service Note” as the title.
  4. Next, you should state the essence of the problem, question, information or proposal in a brief but succinct form, using a business style of writing.
  5. At the end, you need to put down the date of compilation, the signature of the compiler and his last name.
  6. To streamline document flow, all outgoing and incoming documents are subject to registration. Therefore, a correctly compiled memo must be assigned a serial number.

For those companies that want to unify the form of an internal memo and establish the general procedure for how an internal memo is written, you will need to issue a separate order for the enterprise. Then the approved writing example will become mandatory for use by all employees of the organization.

Contrary to the general prejudice against the use of memos in communication with colleagues, this document can only have a positive impact on the work process and establish internal interaction.
